Online Participation (Microsoft Teams)
All online sessions of ICGEC-2026 are held on Microsoft Teams. This page explains how to get Teams, sign in, and join our sessions. Please set everything up before the conference and join the Online Test on November 4, 10:00–12:00 (Taiwan time, UTC+8) to check your audio, video and screen sharing. See the Conference Program for session times.
Quick summary
- Install the Teams app (Windows or Mac), or use Teams in the Google Chrome browser (Linux, or if you prefer not to install anything).
- Sign in with your own Microsoft account (create a free one if you don't have one).
- Join your session's room (Room A or Room B) with that room's meeting ID and passcode. Every room has its own. See Where and When to Present for your session's room and time.
1. Get Microsoft Teams
Windows
- Go to the official download page: microsoft.com/microsoft-teams/download-app
- Click Download for Windows (choose the version for work/school or for home, either works for joining our sessions).
- Open the downloaded installer and follow the prompts.
- Launch Microsoft Teams from the Start menu.
Mac
- Go to microsoft.com/microsoft-teams/download-app
- Click Download for Mac and open the downloaded
.pkgfile, then follow the installer prompts. - Launch Microsoft Teams from your Applications folder.
- The first time you share your screen, macOS will ask for permission. Open System Settings → Privacy & Security → Screen & System Audio Recording (called Screen Recording on older macOS versions), turn on Microsoft Teams, then restart Teams. Do the same for Camera and Microphone if prompted.
Linux, or if you prefer not to install anything: use the browser
Microsoft no longer offers a Teams desktop app for Linux, but Teams works fully in a web browser on any operating system.
- Open Google Chrome.
- Go to teams.microsoft.com (work or school accounts) or teams.live.com (personal Microsoft accounts).
- Sign in (see step 2 below).
- When Chrome asks, click Allow for camera and microphone access. If you missed the prompt, click the icon at the left of the address bar and set Camera and Microphone to Allow, then reload the page.
We recommend Google Chrome. Teams in the browser works best in Chrome (or Microsoft Edge). Other browsers such as Firefox and Safari have limited support, and features like screen sharing, camera or audio may not work reliably. Please use the latest version of Chrome: google.com/chrome
2. Sign in with your own account
You can sign in with either:
- A work or school Microsoft account (for example, your university Microsoft 365 / Office 365 email), or
- A personal Microsoft account (for example, an Outlook.com, Hotmail or Live address, or any email you registered with Microsoft).
To sign in, open the Teams app (or the Teams website in Chrome), enter your email address, click Next, and enter your password. If your institution uses two-step verification, complete it as usual.
Don't have a Microsoft account? Create one for free
- Go to signup.live.com.
- Enter an existing email address you already use (Gmail, university email, etc.), or click Get a new email address to create an Outlook.com address.
- Choose a password and fill in your name, country and date of birth.
- Enter the verification code Microsoft sends to your email, and complete the security check.
- Use this email and password to sign in to Teams.
Tip: Please set your Teams display name to your full name (as registered), so session chairs can recognize you. For presenters, adding your paper ID is helpful, e.g. "Jane Smith (Paper 42)".
3. Join our sessions with a meeting ID and passcode
Every online session room has its own unique meeting ID and passcode. Room A and Room B are separate Teams meetings, so the ID and passcode for one room will not get you into the other. Check which room your session is in on the Program page, then join with that room's meeting ID and passcode. These are provided only to registered participants. If you have not received them, please contact us (see below).
In the Teams app (Windows / Mac)
- Open Teams and sign in.
- Click Calendar (or Meet) in the left-side menu.
- Click Join with an ID.
- Enter the Meeting ID and Passcode exactly as given, then click Join meeting.
- On the preview screen, check your camera and microphone, then click Join now.
In the browser (Chrome)
- Go to microsoft.com/microsoft-teams/join-a-meeting.
- Enter the Meeting ID and Passcode, then click Join a meeting.
- If asked how you want to join, choose Continue on this browser.
- Sign in with your account if prompted, allow camera and microphone access, and click Join now.
Notes on meeting IDs and passcodes
- The meeting ID is a long number; spaces don't matter.
- The passcode is case-sensitive, so type it exactly as given (upper and lower case letters matter).
- If you see "Someone in the meeting should let you in soon", you are in the waiting room (lobby). Please wait; a host will admit you.
During the session
- Join 10–15 minutes early, especially if you are presenting.
- Keep your microphone muted unless you are speaking.
- Presenters: click Share (the upward-arrow icon at the top of the meeting window) and choose the window or screen showing your slides. If your talk has sound or video, turn on Include sound before sharing.
- Use the meeting chat to ask questions or to contact the session chair if you have technical problems.
- Use a wired internet connection or a strong Wi-Fi signal, and a headset to avoid echo.
Attending the onsite sessions remotely
Online attendees can also attend the onsite program in 5F-VEE02 on November 5 (opening, Keynotes 1–3, Session A1, and the Special Lecture) through the Room A Teams meeting. Please note that the session camera stays in a fixed position during each talk; it will not move to follow the speaker.
